Getting Started with Prognosis
Learn how to create your account, complete onboarding, and navigate the platform for the first time.
Creating Your Account
Visit the Prognosis Website
Open Prognosis in your browser. You will land on the marketing homepage.
To create a new account, click Start planning for free in the center of the page. You can also click Sign In in the top-right corner of the page and then follow the link to sign up from there.
Sign-Up Options
Prognosis offers three ways to sign up:
Option A: Email and Password
Fill in the following fields:
| Field | What to Enter |
|---|---|
| Email Address | Your work email (e.g., you@company.com) |
| Password | A password with at least 12 characters, including an uppercase letter, a lowercase letter, a number, and a special character. |
| Repeat Password | Type the same password again to confirm it. |
If a Terms and Conditions checkbox appears, read and accept the terms before proceeding. Click Sign up with Email to submit.
Option B: Magic Link
If the magic link option is available, enter your Email Address and click Send Email Link. You will see a confirmation message: "Check your email, we just sent you a link." Open the email and click the link to continue. No password is needed with this method.
Option C: Google
Click the Google button to sign up using your Google account. You will be redirected to Google's sign-in page. After authorizing, you will be returned to Prognosis automatically.
Verify Your Email
If you signed up with email and password, Prognosis sends a verification email to the address you provided. Open the email and click the confirmation link.
Tip: If you do not see the email within a few minutes, check your spam or junk folder. The email is sent from Prognosis and contains a one-time verification link.
Once verified, you will be redirected into the app to begin onboarding.
Completing Onboarding
After verifying your email (or signing up via Google or magic link), you will be directed to the onboarding page. The page heading reads Welcome to Prognosis with the subtext: "Let's get your account set up with some basic information."
Fill Out Your Profile
Complete the following fields:
| Field | What to Enter | Required? |
|---|---|---|
| Company/Team Name | The name of your organization or team (e.g., Acme Pharmaceuticals). This will become your workspace name. Letters, numbers, spaces, and basic punctuation (& . , ' -) are allowed. | Yes |
| Your Name | Your full name (e.g., Jane Smith). Letters, spaces, hyphens, and apostrophes are allowed. | Yes |
| Phone Number | Your phone number in international format (e.g., +1 (555) 123-4567). This is entirely optional and simply makes it easier for the Prognosis team to reach you if needed. | No |
Click Continue to finish onboarding.
What Happens Behind the Scenes
When you click Continue, Prognosis automatically creates a workspace for your company using the name you entered. You are taken directly into that workspace -- no additional setup steps are required.
Your First Login
The Team Dashboard
After onboarding, you land on your team's dashboard. Since you have not set up any trials yet, you will see a prompt to get started. Use the navigation on the left side of the screen to explore the main areas of the app.
Key Areas to Notice
- Trials -- Where you create and manage your clinical trial forecasts. This is the core of the app.
- Depots -- Manage your global distribution network. Central depots (manufacturing and primary distribution locations) and local depots (regional distribution centers).
- Drug Substances -- Plan upstream material requirements. Define drug substances and their properties, link substances to drug products, and connect products to clinical trials.
- Team Settings -- Manage your workspace, invite colleagues, and configure billing.
- Your Profile -- Access your personal account settings from the dropdown in the top-right corner.
System Requirements
Prognosis is a web-based application that works in any modern browser:
- Recommended: Google Chrome or Microsoft Edge (latest versions)
- Supported: Safari, Firefox
- Connection: Stable internet connection required
Creating Your First Trial
- Navigate to Trials from the sidebar or dashboard.
- The Trials page shows the heading "Manage and monitor your ongoing trials, scenarios, and forecasts."
- Click Create New Trial in the upper-right corner.
- Enter a name for your trial (e.g., "Phase 2 Oncology Study").
- Click Create to launch the configuration wizard.
You will be guided through a 7-step trial setup wizard covering countries and depots, recruitment dates, kits, label groups, treatment (with optional cohorts and titration), production, and shipments. Each step has its own page with clear instructions.
Tip: You do not have to complete all steps in one session. Your progress is saved automatically, and you can return to any incomplete step at any time. The dashboard will show a progress checklist indicating which steps are complete and which still need attention.
Organizing Trials into Groups
A group is a named, colored set of trials, such as every study in an oncology program. Groups help you find related trials quickly and review them together. A trial can belong to any number of groups. Groups hold baseline trials only; a trial's scenarios stay with it.
Creating and Editing a Group
Owners and Admins can create, edit and delete any group. Everyone else can see the groups and filter by them.
- On the Trials page, click New group in the Groups row.
- Enter a name and pick a color.
- Select the trials to include and the team members who should have access to them. Owners and Admins are not listed, because they already see every trial.
- Click Save group.
To rename a group, change its color, trials or members, or delete it, click the pencil icon on the group. A group that isn't on the row shows its pencil once you pick it from +N more.
Who Can See a Trial
Owners and Admins see every trial in the workspace. Members and Viewers see the trials shared with them, including the trials a Member creates (they are shared with their creator automatically):
- Through a group -- members of a group can open every trial in it, along with those trials' scenarios.
- Directly -- an Owner or Admin opens the trial's three-dot menu, chooses Manage Access and clicks Add people. The dialog lists only the people who can open the trial, with their role and how they get access; Remove takes away a direct share. Access that comes through a group is removed from the group instead. Scenarios share their trial's access, so Manage Access on a scenario opens the same list for its trial.
- When invited -- whoever sends an invitation picks the studies the new person will see, or chooses Don't add them to any studies (for example, to keep them blinded). The person gets those studies when they accept.
A trial an Owner or Admin creates is visible only to Owners and Admins until it is shared. When a Member creates a trial, they get access to it and can delete it; an Owner or Admin can still take that access away in Manage Access.
Removing a person from a group, removing a trial from a group, or deleting the group takes away the access that came only through the group. The trials and their data are not changed, and a person who was also given the trial directly through Manage Access keeps it.
Filtering and Viewing by Group
- Click a group in the Groups row to show only its trials. Click All trials to show everything again.
- When there are more groups than fit on the row, click +N more to search and pick from every group. The group you pick stays on the row.
- A trial card shows its first two groups; hover over or tap +N to see all of them.
- Each group shows the avatars of the members who have access through it; hover over an avatar to see who it is.
- Rest the pointer on a group to see its trials. Click a trial to open it where its card's Open would. Pointing at a trial shows what the click does: Open Analytics when it has a forecast to show, Open setup for the setup wizard, Review extraction or View progress while a protocol upload is being read, and Resume run for a forecast that stalled. A trial whose forecast is running can be opened once it finishes. With the keyboard, press the down arrow on a group to move into its trials, and Escape to go back.
- Switch to the List view to see your trials in one section per group, with each trial's scenarios in the rows below it. Searching opens the groups that hold a match and lists only the matching trials. The column headings stay in view as you scroll; on narrower windows the Created, Last modified by and Modified columns are hidden, in that order, so the list fits without scrolling sideways.
The same groups are used across Prognosis. The Groups filter on the Overview highlights the supply chain of the trials in the groups you pick, and the Group filter in Budget narrows a plan's End-to-End view to the trials in those groups.
Inviting Team Members
To invite colleagues to your workspace:
- Go to your team's Settings page.
- Look for the Members or Invitations section.
- Send an invitation by email. Your colleague will receive a link to join.
When an invited user clicks the link, they will be prompted to sign up (if they do not have an account) or sign in (if they already do). After authenticating, they will see a page confirming that they have been invited to join your workspace. They simply click Accept to join.
Returning to Prognosis
When you return to Prognosis after your first session:
- Go to the Prognosis website and click Sign In.
- Enter your email and password, use a magic link, or sign in with Google.
- You will be taken directly to your most recently visited workspace.
If you belong to multiple workspaces, you can switch between them from the team selector.
Tip: If you have forgotten your password, click Forgot your password? on the sign-in page. Enter your email address and you will receive a link to set a new password.
Troubleshooting Common Issues
| Issue | What to Do |
|---|---|
| Verification email not received | Check your spam/junk folder. If still missing, try signing up again -- a new verification email will be sent. |
| Magic link expired | Return to the sign-in page and request a new magic link. Links expire after a limited time. |
| "You've already been invited" error | You may already have an account. Try signing in with the same email address instead of signing up. |
| Cannot create a trial | If you are on a free plan, you may have reached the trial limit. Check your plan details under Team Settings or contact your workspace administrator. |
